How to track UGC usage rights expiration dates

Keep the usage terms and end dates you agreed with the brand alongside your deal records. Payment and usage follow separate timelines, so check the usage dates even after you’ve been paid.

Start with the actual agreement

  1. Record the terms in plain language. Note what you agreed about use, such as the named channels or type of usage. Check the details against what you agreed with the brand.
  2. Add an end date only when you know it. If the agreement gives a duration, confirm how the start and end are defined before calculating a date. Do not assume delivery, publication or payment starts the term.
  3. Keep different terms separate. Paid usage, organic use or exclusivity may have different dates. Keep a separate date for each term when they differ.
  4. Update confirmed changes. If you and the brand agree on an extension or other changes, update the details and keep the confirmation.

Paid in May. Usage ends in June.

In this fictional example, the agreement explicitly states that paid social usage ends on 30 June. The brand pays in full on 15 May.

In this example, the usage end date stays June 30 even after the brand pays. Archiving the deal won’t change the agreement.

When the date is unclear

If the end date isn’t clear, check the original agreement and ask the brand to clarify. Get professional advice if you need help interpreting the terms. For now, keep a short summary in Notes. You’ll need a confirmed end date to add a usage entry in CollabJot; Notes won’t create a date alert. A blank field doesn’t tell you what rights were agreed.

Review upcoming dates

  1. Check which recorded end dates are approaching.
  2. Read the original agreement before deciding what action is needed.
  3. If you want to discuss an extension, confirm any new terms and price with the brand.
  4. Update the deal only when the change is actually agreed.

Using CollabJot

Under Usage & rights, choose the usage type and the end date you agreed with the brand. Open entries appear on Home when their end dates are approaching, due today, or have passed. Paying or archiving the deal won’t remove those alerts.

CollabJot shows the dates you enter. It doesn’t check whether a brand is still running your content, send renewal emails, or enforce an agreement. Check the original agreement before taking action, and get professional advice if you need help with a legal question.

Common questions

What if I don’t know the end date?

Keep the details in Notes for now. Confirm the date before adding a usage entry. Notes won’t create a date alert.

Does archiving remove usage reminders?

No. Archiving moves the deal out of your current list. Open usage entries still appear on Home when their dates need attention.

Should I track payments in the same record?

Yes, while keeping payment and usage facts separate. Learn how to track payments and outstanding balances.
